What is a Client versus a Contact?
- A Client is the company name
- A Contact is the person within that company
How do I create a Client?
There are 3 ways you can create a Client:
1. In the Clients tab
-
- On the top right of the screen, there is a button that says “+ New Client”. From there, you will enter the Client Name (Organization), along with their Contacts (those within the Organization). The External ID is used if you have a 3rd party system with their own Client ID structure. The External ID and Additional Info section is for internal use only.
2. From a 3rd party system
-
- You can upload a client list from your 3rd party system, such as Salesforce. To upload a Client List, see below.
3. From a the request page
- While creating a new request, you have the option of creating a new Client or new Contact within an existing Client.
How do I create a Contact?
- Every Client must have a Contact. Your initial Contact will be created at the same time a Client is created.
- To add a new Contact on the Client page, click "New Contact" on the Contacts table.
- From here, you can change your Primary Contact information, including name, Contact info, and mailing address.
How do I modify a Client or Contact?
-
You can modify a Client on the Client page. To find a Client, you can filter the list by Client name.
What happens when you update Contact or Client information?
-
-
The information will immediately copy across all requests, so do so carefully.
-
How do I upload a Client list?
- On the Clients page, click “Upload Client List”
- Download the sample CSV (the link is below the drag & drop section)
- Upload the CSV in the appropriate format by dragging and dropping into the dotted box
Can I use Salesforce (or another 3rd party system) to import my Client list?
-
-
Yes. Please download the Sample CSV file, found on the "Upload Client List" popup.
-
To import the Client list, click “Upload Client List” on the top right corner of the Client page, then drag and drop the file into the window.
-
Can I upload a Client list with multiple Contacts?
-
Multiple Contacts can be grouped together if they have the same External Client ID or Client ID.
Will my Client or Contact information override if I use the same External ID?
-
- Yes. If an external ID is included in the upload file for either a Client or Contact, that it will overwrite any changes in the Client/Contact list with that existing external ID.
- Alternatively, if no external ID is listed, a new Client or Contact will be created, regardless if that Client/Contact already exists
Example: Nliven will not recognize that all of the info is the same if no external ID is listed, and a duplicate Client/Contact with the same information
What is External Client ID?
-
The External Client ID is to help you reference your 3rd party system (ex: Salesforce) should you manage your Clients outside of Nliven.
What happens to our Client list if we don't have an External Client ID?
-
- No External Client ID is necessary. However, if you’d like to group multiple Contacts together under one Client, you can create your own External Client ID to upload, and they will be grouped together.
Is the “Favorites” tab specific to a Group Sales Agent or the Agency?
- The “Favorites” tab lists all Clients that have been favorited by anyone in your agency.
How can I look at one Client’s orders?
-
On the Group Sales dashboard, you can filter requests by Client Name. This should give you an easy overview of all the requests attached to that Client.
How do I search my requests by Contact name?
-
Currently you can only search requests by Client Name
