To utilize Saved Baskets, an event template, corresponding events, and inventory must have been built and configured in Nliven. Saved Baskets can be accessed by hovering over the orders icon in the left-hand navigation menu and selecting “Saved Baskets”. Contact Ticketing Services for further details.
This page addresses the creation of Saved Baskets. For details on how to manage Saved Baskets, access the Managing Saved Baskets page.
Saved Baskets: is used in Nliven to make reservations. This functionality can be used by the Box Office to reserve tickets for Group Sales or individuals. Using Saved Baskets enables the Box Office to email out an invoice to the customer which includes a “Make Payment” button for ease of purchase.
Placing/Reserving a Group Sales Order
Navigate to the "Sell Tickets" tab in the left-hand navigation menu. Click "Sell Tickets" on the event series you would like to purchase tickets for.
Seat Map Page
- After an event series has been chosen, select the group’s/customer's desired performance date and time from the event list or calendar view on the left-hand side of the screen (can toggle between the two).
- In the calendar view, a dot on a calendar date represents an event, and the dot's color (green, yellow, or red) represents how much availability the event has.
The system will open the Seat Map page. You will be presented with the option to "Shop by Seat Map". Here you can also use "Heavy On Sale" or "Find Best Tickets" by choosing either of those options in the top right-hand corner of the page.
- "Heavy On Sale" will select the best available seats based on quantity and price selection.
- "Find Best Tickets" will show you the best available seats at each price level based on quantity selection.
- "Shop by Seat Map" will allow you to choose any seats.
- After selecting "Shop by Seat Map", you will see all available seat types, opens plus any holds the user has access to according to their user group - further details are provided on the Create/Edit User Groups page.
- Opens or individual holds can be deselected to hide them from view in the map by clicking on the "All seat types selected" drop-down menu.
- You will also be presented with a drop-down menu that by default says "No promotion". Here you can select various promotions configured on the Event Template. Promotion access can also be configured in User Groups, further details on promos are provided on the Create/Edit Promos in an Event Template page.
- Here you have access to a "Status" drop-down menu that contains a legend for the various statuses seats can be in (Sold vs. Comp vs. Inquiry, etc). These correspond to multiple icons displayed on seats on the map.
- To select seats from the map, you can click off individual seats by default or use the icons in the bottom left-hand corner of the map to select by section, row, or by "painting".
- To add seats from multiple events under the same event series to your basket, after making a seat selection on the first event, choose the next event to add seats from the calendar or event list. The seat selection process for the second event will be the same as the seat selection process for the first event. For any events for which seats have been selected a blue bar will be presented in the calendar or event list.
- If a promotion needs to be applied to the order, select the promo before selecting seats at the first event. Once you proceed to the seat selection at the next event, the promo will automatically be applied. Filtering changes made in the “seat types” drop-down menu will also be applied across all events you select seats for.
- After all desired seats have been selected, click the blue "Buy Tickets" button at the bottom of the page.
Basket Page
On the basket page, you can review details of the seats you have selected and if necessary apply an option (Change Price Type, Change Promo, or Delete) from the “Actions” dropdown to one or all tickets in the basket.
- Select "Change/Add Seats”. This will take you back to the seat map page to make changes to any selected inventory.
- Add any configured "Add-Ons" (configuration details provided on the Create Products in an Event Template page) below the tickets' details by entering the desired quantity.
- Text can be added to the "Notes" section at the bottom of the page. This will populate in the "Notes" section of the order after checking out, as well as in invoices related to Saved Baskets. Text entered at the basket page will also populate in the "Notes" section of the checkout page.
- If you have added seats from multiple events to your basket, on the basket page you will see an indication above the seat information table of the number of events and tickets in your basket. If you select “Change/Add Seats” and had a promotion applied, that promotion will no longer be applied on the seat map page and would need to be selected again.
- Once you have confirmed order items are correct, you can choose "Proceed to Checkout", and click a link to "Delete Basket” or "Save Basket".
- After clicking "Save Basket", you will be prompted to choose a "Basket Expiration Date" and "Basket Expiration Time". Tickets will be released on this date if this order is not completed or the expiration is not extended. The Basket Expiration date will not appear on a customer invoice.
- A Payment Due Date and Time can be inputted. The payment due date will display on the customer invoice. This allows users to retain the reservation until the Expiration Date while notifying the customer that their payment is required by a date prior to the Expiration Date.
- Enter the "Customer Email", "First Name", "Last Name", and "Customer Phone" (optional), “Customer Organization.”
- Click "Save". You can also save a basket on the checkout page.
Color-coded Expiration Alerts: The Payment Due feature includes color-coded alerts that appear in the saved basket list. These identify reservations that are close to expiring.
- Red = Payment due date has passed.
- Orange = Expiration date is in the next 48 hours.
- Yellow/Orange = Payment due date is in the next 48 hours.
Invoicing
The invoice can be customized by entering an "Invoice Footer" in the event template-settings-invoicing tab. Configuration details are provided on the Edit Event Template - Settings Tab page. This will appear at the bottom of the invoice. The display of fees in the invoice can also be customized. Further details are provided on the Create Fee Sets/Fees in an Event Template page.
Checkout Page
If you have proceeded to the checkout page after the basket page, you can choose to complete the order or save the basket at this stage.
- Use the "Customer Search" field at the top of the page to populate the customer details if this group/customer has already purchased through Nliven.
- If you plan to checkout, you will need to enter a delivery method (configuration details provided on the Create/Edit Delivery Plans & Delivery Methods page), customer details (manually or by utilizing the "Customer Search" functionality), and payment type (configuration details provided on the Create/Edit Payment Settings - Comp Types & Custom Payment Methods page).
- You can assign a Partner to the order in the "Partner" section. You will be advised to "Start typing Partner name" to bring up the Partner. This allows any commissions associated with the order to be attributed to a Partner and a Partner record to be stamped on an order for reporting purposes. This process is available even if the user making the sale does not belong to the Partner in question. For further details on Partners, please visit the Create/Edit Partners page.
- Completing the order allows an "Order Confirmation Email" to be sent to the group/customer. This can be customized by event series (configuration details provided on the Edit Event Template - Settings Tab page).
- If you plan to save your basket, you can use any customer detail entering options described above or enter the customer details manually after clicking "Save Basket".
- Click the ellipses to the right of any saved basket to "Delete Basket", or "Resume/Edit Basket". This will take you back to the seat map at the "Sell Tickets" tab with your seats still reserved and allow you to go through the same "Sell Tickets" flow described above to make inventory changes, extend the expiration date, and/or buy the tickets.
