From the Nliven admin home page, click on the "Account Settings" tab in the left-hand navigation menu. Here you will find the "Accounts Settings" page. Click the "User Groups" tab.
User Groups
User Groups: are created to eliminate the need to restrict individual Users to certain Events, Venues, Promo Codes, Holds, Payment Types, Reports, and instead, allow you to restrict functionality to an entire group of Users.
There is no limit to the number of User Groups that can be created within your account.
Once you have all the users you want to add to the system, you need to:
- Create User Groups
- Create Users (further details provided in the Invite/Manage Users page)
The User Group gives the User permission on what they're allowed to do within the system.
There is a default User Group created - “Admin” - which will allow you full access to Nliven functionality.
Note: The default User Group "Admin" cannot be edited.
All Nliven Users must belong to a User Group.
Create a New User Group
To create a new User Group, click on “+ New User Group” button on the top right-hand side of the page. This will allow you to create a new user group and set your desired parameters for that group.
You will only need to create new User Groups if you want to add Users whose settings will not match any of your current User Groups' settings.
To assign a Sales Channel / Sales Channel(s) to the specific User Group toggle on Sell Tickets Sales Channel Override (blue), you are able to choose one or more Sales Channels. If only one Sales Channel is chosen then all sales will default to that chosen Sales Channel.
Please note:
Only applies to Call Center, Group Sales, House Seats and POS user roles.
Defaults to sales channel with user role.
To restrict a User Group from a category (List of Events, Promo Codes, Holds, Comp Types, Custom Payment Methods, Payment Types, Reports, Webhooks, or Sale Types), toggle the category on (blue).
To enable Use Retail Price for Outlet Sellers. With this setting toggled on (blue) Outlet Sellers will receive the default retail price - otherwise the will receive the default (base) price.
To enable Hide Price On Consumer Elements. With this setting toggled on (blue) this will offer the ability to hide the ticket price for the Outlet Seller User role.
When toggled on, the price will be hidden on the following Consumer Elements:
- Confirmation Email
- Tickets Email
- Invoice Email
- Invoice
- Tickets (all types)
To enable a User Group for a category (Restrict Sell Tickets Seat Map Actions, Allow Refunds and Cancellations, Allow Price Override or Allow Bulk Edit Seats), toggle the category on (blue).
To enable certain items within a category (for example, specific Reports or specific status of seats within Allow Bulk Edit Seats), check the boxes of the items you would like the User Group to access.
For Promo Codes, enter the exact text of the code(s) (built in the event template[s], further details provided in Create/Edit Promos in an Event Template page) that you would like the User Group to access.
Manage User Groups
Users
Users will populate in the “Users” list at the bottom of the User Group screen, once a User Group has been assigned to a specific user in the “Users” tab.
User Groups must be created before inviting a User to the system. For details click here: Invite/Manage Users.
Outlet Sellers, API users, and Group Sales Agents must be created as a Partner at the "Users" tab. For further details click here: Create/Edit Partners.
Archive a User Group
A User Group can be archived at any time. Toggle on the “Archive User Group” switch at the bottom of the “Edit User Group” screen.
Once the toggle is switched, a required field will appear with a dropdown menu where a new User Group should be selected. The Users under the newly archived group will then be assigned to the selected User Group, after the "Save User Group" button is clicked at the top right side of the page.
Nliven Two-Factor Authentication (2FA)
Nliven now offers the ability to use 2FA. To set this up on your account please follow the steps below.

In your User Group, toggle on “Require Two-Factor Authentication (2FA)". This is located towards the bottom of the User Group's settings. Please note that this is not the case for the Admin user group.
- When completed, save the User Group and exit.
- When the User attempts to log in, the screen below will be displayed. The User will need to have a smart device to scan the QR code and be able to use either Microsoft Authenticator or Google Authenticator.
- Follow the instructions on the screen (as above).
- Once completed and verified, when the user logs in a second screen will appear for 2FA authentication (see below).
2FA Guidance
Nliven allows 2FA to be remembered (i.e. not entered again) via a cookie for 7 days. When you’re signed out due to inactivity, that 2FA is remembered (for up to 7 days after you initially entered it). When you sign out manually, the cookie is deleted, so you would have to enter your 2FA code again.
Unlock a User (incorrect password/lock out)
Please note that if a User attempts to log in 4 times with an incorrect password, they will be locked out of the system. They will also be locked out if they try to input the wrong 2FA code 4 times.
An Admin User can unlock a User by accessing the User's record from Account Settings. At the V2 Users tab, click on the User's email address hyperlink. You can then click "Unlock User".
An Admin user can also "Remove 2FA Token" if no longer required for that User.
The User will then be able to change their password via the “Forgot Password” button on the Nliven app login page and regain access after resetting it.
