From the Dashboard, hover over the "Reports" tab in the left-hand navigation menu and select "Advanced Reporting."
Advanced Reports: Advanced Reports are Tableau-based. They use a data tree structure of workbooks that contain one or more sheets. Each workbook corresponds to either one or a set of reports.
Note: In order to utilize Advanced Reporting in Nliven, you will need to contact nlivensupport@tixtrack.com or fill out our support form with a request to make the functionality available on your account.
Preliminary Setup
Advanced Reports are accessible based on the permissions granted to specific user groups (further details about how to manage user groups can be found on the Create/Edit User Groups page).
- Report permissions can be set on a user group using the Restrict Reports setting:
- Toggle on Restrict Reports, which will expand to display lists of report types available on your account, including Advanced Reports.
- The Advanced Reports list will be broken down by workbook and sheets within a workbook (if applicable). These can be individually selected to customize user access.
Advanced Reporting Overview
On the Advanced Reporting page, there will be a data tree on the left-side listing each workbook that is available. Clicking the x icon beside "Advanced Reporting: Workbook List" will collapse the list, while the list icon can either expand or collapse the workbook list.
An arrow beside a workbook's name indicates that it contains multiple sheets (i.e. a set of reports). Clicking on the name will expand to show the list within that workbook:
Report Dashboard
Upon selecting a workbook, its dashboard will load with the default version of the report. Above the dashboard will be the workbook's name, a Schedule Report button, Save Filters button, Export button, and an Actions menu. If the user has at least one saved filter, there will be an additional Load Filters menu.
The time of the last data refresh will be listed at the top of the dashboard, along with a Hide Filters viewing option. Data is typically refreshed on an hourly cadence, but can vary depending on the type of report.
The refresh time is in the local time of the user. A user's time zone can be set on their User Profile (see image below). Any sales times or order created times listed in reports will use the time zone setting of the event's venue.
Report Filters
The default version of a report will typically have all its filter options selected. At any time, a user can click the Save Filters button to save a new filter or edit an existing filter. A user must have a saved filter before scheduling any report.
If a user is creating a new filter, they should leave the Saved Filter Name field defaulted to "Select an Option" and enter a name in the Save As New Filter field.
After the new filter is saved, the dashboard will indicate that an active filter is in use. The filter can be removed by clicking the x next to its name.
If a filter is in active use and a user edits the report's filter options, they will be notified that they have an active unsaved filter and be prompted to update the existing filter.
If a user makes an edit to an existing filter, the Save Filter screen will have the filter selected in the Saved Filter Name field and a warning message will indicate that the filter will be overwritten. If the user wishes to save a new filter instead of overwriting the existing one, they can enter a new filter name in the Save As New Filter field.
To manage saved filters, click the Load Filters menu and select the Manage Filters option.
The Manage Filters screen will give the user the options to rename existing filters or delete them. Note: You cannot delete a filter that is in active use, however, you can delete a filter that is in use by an active scheduled report.
Exporting a Report
A report can be exported to either a PDF or CSV file.
- Click on the Export button to export a report.
- Select either PDF or CSV format.
- Select the data to be exported. Select the option "Data Export - [Report Name]." If you encounter other data options, such as any beginning with "KPI...", disregard them for now.
Actions Menu
The Actions menu can be used to perform various actions:
- Undo - This will undo the last filter parameter change.
- Redo - This will redo the last filter parameter change that was undone.
- Reset Filters - This resets the report to its default filter settings, including removing any loaded filter.
- Refresh - This performs a manual data refresh, which updates the data last refreshed date to within the last 60-70 minutes (in the user's local time).
- Pause - This pauses the running of the report.
- Resume - This resumes the running of the report.
Scheduling a Report
To schedule an advanced report, use the Schedule Report button above the report's dashboard. It will be inactive until a user either saves a new filter or loads an existing filter. Hovering over the inactive button will display a message "Save or load a filter to enable report scheduling":
After a new filter has been saved or an existing filter is loaded, the Schedule Report button will be active:
After clicking the Schedule Report button, a schedule setup screen will appear with the following options (required fields are marked with a red *):
- Delivery Method - Email is the default.
- Delivery Format - PDF or CSV
- Subject - This is the subject line of the scheduled report's email.
- Recipients - There must be at least one recipient. The Add Me button adds the email of the user scheduling the report.
- Email Message
- Send Every - Frequency can be Days, Hours, Minutes, Months, or Weekly.
- Send on these selected days - All days of the week are selected by default and no days need to be unselected/selected when the Send Every field is set to Days.
- Time Zone - This is the time zone for when the report will be sent, regardless of recipient time zone(s).
- Select Start Date and Time - It is not possible to select past start dates. However, it is possible to select a past start time if the start date is the day you are scheduling the report. This should immediately send the first scheduled report, with all subsequent reports being sent at the actual start time going forward. For example, if I am scheduling a daily report on Jan 1 at 3pm ET, I can select a start date and time of Jan 1 at 11am ET and receive the first scheduled report immediately while future daily reports will be sent at 11am ET.
- Select End Date and Time - End defaults to one year from the start date.
- Select Data - Select the option "Data Export - [Report Name]." If you encounter other data options, such as any beginning with "KPI...", disregard them for now.
Manage Scheduled Reports V2 Page
This page can be used to manage both scheduled Advanced Reports and Native Nliven Reports (i.e. the scheduled reports that are managed on the V1 page). Managing reports on this page comprises viewing, editing, or deleting.
NOTE: Only users with the Admin user roles will be able to view, edit, or delete ALL reports regardless of user group permissions (which are listed on the All Reports tab) in addition to their own scheduled reports (which are listed on the My Reports tab). All other user roles will only see their own reports listed with no All Reports or My Reports tabs at the top.
The list of scheduled reports details the following:
- Subject - This is the subject line of the scheduled report's email.
- Report Type - This is the name of the report that was scheduled.
- Frequency - The frequency that the report will be sent with the time being the local time zone of the user who scheduled the report.
- Send Via
- Format - If the report's data will be in an attached PDF or CSV file.
- Recipients
- Scheduler
- Last Sent - Date the report was last sent in the local time zone of the user viewing this page.
- Next Scheduled - Date the report will be sent next in the local time zone of the user viewing this page.
- Active
- Actions menu:
- View Report Filters

Native Nliven Reports - A pop-up screen detailing the report's filter settings will display. This is view only.
- Advanced Reports - The user will be redirected to the Advanced Reporting page. The type of report that is scheduled will be loaded with its corresponding filter.

Native Nliven Reports - Editing options are limited to Delivery Method, Recipients, Subject, and Email Message.
- Advanced Reports - Editing options are identical to the options presented to a user when scheduling a report.
